What Information We Collect
When you contact us
When you use the contact form on our website, we collect your name, email address and message. You can also choose to give us your business name, phone number and the package you’re interested in. If you email or call us, we collect the details you share with us.
When you become a client
We collect the details needed for your agreement, such as your name, business name, address, email, phone number and signature, plus the content you send us for your website. Payments are handled by Stripe. We don’t see or store your full card or bank details.
When you visit our website
Like most websites, our hosting provider automatically records basic technical information, such as your IP address, browser type and the pages you visit, to keep the website working and secure. Our website also loads its fonts from Google Fonts, which means your browser connects to Google and shares your IP address with it.
Cookies
We only use essential cookies and similar storage. See our Cookie Policy for details.
How And Why We Use It
UK data protection law says we must have a lawful reason (a “lawful basis”) for using your information. Here’s how we use it, and why:
| What we use it for | Our lawful basis |
|---|---|
| Replying to your enquiry and talking about your website | Our legitimate interest in responding to people who contact us, and taking steps at your request before entering into a contract |
| Building and handing over your website, and managing our agreement with you | Contract |
| Sending invoices, taking payments and keeping business and tax records | Contract and legal obligation |
| Keeping our website working and secure | Our legitimate interest in running a safe, working website |
| Optional cookies, if we ever use them | Consent, which you can withdraw at any time |
We never sell your information. We won’t send you marketing without your permission, and we don’t make decisions about you by automated means.
Who We Share It With
We only share your information with trusted companies that help us run our business, and only as much as they need:
- Hostinger, which hosts our website and keeps its technical logs.
- FormSubmit, which delivers messages from our contact form to our email inbox.
- Google, which provides our email inbox (Gmail) and the fonts on our website (Google Fonts).
- Stripe, which sends our invoices and processes payments.
We may also share information with professional advisers, such as an accountant, or with authorities such as HM Revenue & Customs where the law requires it.
Information Sent Outside The UK
Some of these companies may store or process information outside the UK, for example in the European Union or the United States. Where that happens, the information must be protected by safeguards recognised under UK data protection law, such as adequacy regulations or approved contract terms.
How Long We Keep It
- Enquiries that don’t lead to work: up to 12 months after we last hear from you.
- Client records, such as agreements, invoices and payment records: 6 years after the end of the tax year they relate to, as needed for tax and legal reasons.
- Website technical logs: for the limited period set by our hosting provider.
Your Rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to limit how we use your information;
- object to us using your information based on our legitimate interests;
- ask for your information in a format you can take elsewhere; and
- withdraw your consent at any time, where we rely on it.
Some of these rights only apply in certain situations. To use any of them, email us at madawimedia@gmail.com. It’s free, and we’ll reply within one month.
Do You Have To Give Us Your Information?
No. But if you don’t, we may not be able to reply to your enquiry or build your website.
Keeping It Safe
We take reasonable steps to protect your information, such as using secure, password-protected accounts and secure (HTTPS) connections on our website.
Complaints
If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes To This Policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
